Our Structured Working Approach

To protect your financial data and maintain GDPR compliance, all books and records must be uploaded via our secure Engager Portal. We do not accept records via email, WhatsApp, or physical post unless explicitly agreed in writing.

Primary Channel: All professional communication is handled via email and the portal.

Batching: To maintain focus and efficiency, queries are grouped and responded to in scheduled batches.

Availability: We do not provide support via WhatsApp or text message, ensuring all advice and data is properly recorded within your client file.

Schedule: Records are requested on a fixed monthly schedule.

Queries: Clarification questions are consolidated into a single request per period where possible.

Deadlines: If clarifications are not received by the agreed deadline, we may apply reasonable draft categorisations based on the information available so that work can continue. Final responsibility for reviewing and approving these categorisations and the accuracy of records remains with the client.

Planned Delivery: Work is delivered according to agreed timelines. Ad-hoc or urgent requests are subject to availability and may incur additional fees.

Statutory Compliance: Meeting HMRC deadlines depends on timely cooperation and receipt of complete records by the 5th of each month.

Our core services are strictly limited to Bookkeeping, VAT Compliance, and Payroll/CIS processing. Any requests outside this scope (such as advisory work or statutory accounts) will be quoted separately as a one-off project or declined if outside our practice licence.

Apex Bookkeeping Ltd operates as a team. While work may be prepared by qualified associates, all output is reviewed by the ICB Licence Holder to ensure compliance with professional standards.
